Tax benefits in Empuls lets you administer India-specific tax-saving allowances — Food & Grocery, Fuel & Driver Allowance, Leave Travel Assistance, Telecom & Internet, Books & Periodicals, Reimbursement, and Miscellaneous — through a single organization wallet. You fund the wallet by bank transfer, add employees as beneficiaries, allocate amounts per category, and the platform tracks every credit, debit, and decline. To open Tax benefits, navigate to Admin Hub → Tax Benefit, or open it directly in your tenant at https://<your-empuls-url>/home/tax-benefit.

Before you start

  • You must be a Super Admin to access the Tax Benefit dashboard.
  • This feature is available to organizations with employees in India and a configured benefits provider partnership with Xoxoday.
  • Beneficiaries receive a payment card; KYC must be completed by each beneficiary before transactions are accepted.

How it works

Fund the organization wallet

Money is added to a single org-level account via Indian bank transfer (IMPS, NEFT, or RTGS). The available balance is split across benefit categories when you allocate funds.

Add beneficiaries

Pick employees in bulk — either by uploading a CSV or by filtering on department, designation, grade, location, business unit, or cost center. Empuls validates each row, surfaces errors in a downloadable report, and issues a card to every successful beneficiary.

Allocate funds

Upload a CSV that lists the amount each beneficiary should receive per category. Empuls validates the file, shows warnings and invalid rows, and disburses funds in a background job.

Monitor utilization

Track org-level totals (allocated, utilized, unused), per-employee balances across categories, and per-category spend including declined transactions with reasons.

Dashboard overview

The Tax Benefit dashboard is your starting point. It shows:
  • Organization account balance — Total funds held in the org wallet and the amount currently available for allocation, in INR.
  • Action buttonsAllocate fund opens the allocation wizard; + Add funds displays bank-transfer details for topping up; the popover next to the balance links to the Account statement.
  • Summary cards — Total Allocated, Total Utilized, Employee Unused Balance, and Beneficiaries. Each card navigates to the corresponding detail page.
  • Category cards — One card per active benefit category showing unused balance, so you can see at a glance where money is sitting.

Add funds to the organization wallet

Click + Add funds

On the Tax Benefit dashboard, click + Add funds next to the account balance. A modal opens with the Xoxoday HDFC bank account details — account holder, account number, IFSC code, and bank name.

Copy bank details

Use the copy icon next to each field to grab the values for your finance team.

Initiate the transfer

Send funds from your corporate bank account using IMPS, NEFT, or RTGS, following the transfer rules listed in the modal. Funds typically reflect in the org wallet within one business day depending on the transfer mode.
Funds added to the organization wallet are non-refundable once allocated to beneficiaries. Confirm category caps with your finance team before allocating.

Add beneficiaries

The Add Beneficiary wizard is a three-step, full-screen flow.

Open the wizard

From the Beneficiaries page, click + Add beneficiary.

Choose how to select users

Build a condition by picking from department, designation, grade, location, business unit, cost center, or individual users. The picker supports multi-select search so you can mix several criteria into one rule.

Review validation

Empuls runs validation as a background job. You’ll see:
  • Success count — Rows ready to add as beneficiaries.
  • Error count — Rows that failed validation, with a downloadable error report so you can fix and re-upload.

Confirm and submit

Click Confirm to enroll the validated beneficiaries. A progress bar tracks the submission; the final screen shows how many beneficiaries were added successfully.
Each beneficiary’s card status starts at KYC Pending. The beneficiary must complete KYC with the card provider before the card becomes Active and can be used for transactions.

Allocate funds to beneficiaries

The Allocate Funds wizard is also a three-step flow.

Open the wizard

On the dashboard, click Allocate fund.

Upload the allocation CSV

The wizard shows the current available balance. Download the sample template, fill in beneficiary email, benefit category, and amount per row, then upload the file. Empuls validates the file type and size before accepting it.

Review validation results

Empuls validates each row in the background. The summary shows:
  • Success — Rows ready to disburse.
  • Warning — Rows that disburse with caveats (for example, partial allocation due to insufficient category cap).
  • Invalid — Rows that fail (unknown email, disabled user, invalid category). Download the corrected file to fix and re-upload.

Confirm and disburse

Click Confirm to submit the allocation. A progress bar tracks disbursement. The final summary shows:
  • Users recognized — Beneficiaries who received funds.
  • User accounts disabled — Skipped because the user is no longer active.
  • Failed — Allocations that couldn’t be completed, with a downloadable failure report.
Background jobs poll every 5 seconds and time out after 15 minutes. If you close the browser, the wizard remembers the in-progress job via the URL and can resume.

Reporting and statements

Category detailsDrill into a single category to see allocations, spend transactions, monthly spend, and a sub-page of declined transactions with decline reasons.
Beneficiary detailsPer-employee profile with Overview (totals + per-category cards) and Transactions (credit/debit history, search, and date filter).

Limits and gotchas

  • Amounts are stored and displayed in INR using the Indian numbering system (lakhs and crores).
  • Card issuance and KYC are handled by the card provider, not Empuls. Failed KYC blocks card activation but does not block beneficiary creation.
  • Declined transactions show a decline reason (insufficient balance, blocked merchant category, etc.) on the Transaction decline sub-page within Category details.
  • Tax benefits is independent of reward points and the redemption wallet — it cannot be funded from or paid out to those balances.
