The org-structure settings in Empuls define every dimension Empuls uses to group, filter, and report on your workforce — departments, designations, grades, projects, cost centers, sites, and business units. Every recognition, budget, leaderboard, and report can reference these entities, so getting them right early is foundational to the rest of your setup. Open it in your tenant at https://<your-empuls-url>/home/companyinformation.

Before you start

  • You must be a Super Admin to add, edit, or delete org entities.
  • Decide your structure before bulk-importing employees. Re-mapping users after the fact is manual.
  • Cost centers, business units, and grades are referenced by budgets, reports, and exit policy — they’re not just labels.

Each entity becomes a column on the employee record and a filter available in every Empuls feature.

Add an entity

The flow is the same for every entity type. Departments are shown here as the example.

Open Business Information

Navigate to Admin Hub → Reports & Settings → Finance → Business Information, or open it directly at https://<your-empuls-url>/home/companyinformation.

Select the Metadata tab

The Metadata tab lists every entity type.

Click Add for the entity you want

Click Add Department (or the equivalent for designation, grade, project, cost center, site, business unit).

Fill in the form

Each entity needs a name. Some entities have additional fields:
  • Project — start and end dates
  • Cost center — owning department (optional)
  • Site — city, country
  • Business unit — owning region (optional)

Save

The entry appears in the list. It’s now available for mapping on employee records.

Edit an entity

Click the pencil icon next to any entity in the Metadata tab. Update the fields and save. Changes apply immediately to all employees mapped to that entity.

Delete an entity

Find the entity

On the Metadata tab, hover over the entity row.

Click the delete icon

Empuls shows a dialog summarizing impact: how many users are mapped to this entity and what will happen to them.

Choose how to handle affected users

  • Blank the field — Mapped users will have this field cleared.
  • Remap to another entity — Pick a replacement entity; affected users are reassigned.

Confirm

The entity is removed. Users are blanked or remapped per your choice.

Org chart viewer

Once entities are populated and users are mapped, the Org Chart view at https://<your-empuls-url>/home/org-chart renders a visual reporting structure with departments and managers. Both admins and employees can view it.

Limits and gotchas

  • Empuls reserves a default “Unmapped” bucket for users without an entity assignment. Filtering by it is the fastest way to spot data-quality issues.
  • Renaming an entity does not break references — users stay mapped to the same ID.
  • Deleting a cost center that’s referenced by an active budget requires reassigning the budget first.
  • Sites used by cost-of-living adjustments cannot be deleted while a COLA rule depends on them.
